Job Summary
The OTOP/OBOT Administrative Assistant is responsible for providing administrative support for the OTOP and OBOT programs. Key responsibilities include: take accurate minutes at various meetings, schedule and track all patient medical appointments, enter clinical data into various EHR databases, create monthly calendars, support OTOP's leadership team, provide independent project management, editing/proofreading skills, and possessing the ability to compose professional narrative content on behalf of Leadership. The OTOP/OBOT Administrative Assistant will also serve as a back-up receptionist; and perform other duties as needed. Note: Work schedule is M-F, 6:30 am to 3:00 pm.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description
The UCSF/ZSFG Department of Psychiatry and Behavioral Sciences, Division of Substance Abuse and Addiction Medicine (DSAAM) provides multi-disciplinary consultation and treatment for patients with substance use disorders at ZSFG. DSAAM provides medication assisted treatment for opioid use disorder through the Opiate Treatment Outpatient Program (OTOP) at Ward 93 as, the mobile methadone van in the Bayview-Hunter’s Point neighborhood, a novel primary care-based methadone treatment program, and the Office-based buprenorphine Induction Clinic (OBIC).
The target population for OTOP’s methadone maintenance service is low-income medically/psychiatrically compromised opiate dependent individuals who reside in San Francisco, primarily in the South of Market, Mission, Castro, and Tenderloin areas. This includes a large proportion of African Americans and Latinos, gay, lesbian, bisexual, and transgender individuals, and women of childbearing age, pregnant women, and post-partum women. The target population includes people of all ages, races, ethnicities, sexual orientations, gender identities, religions or spiritualties, socioeconomic classes, partner statuses, and physical and mental disabilities. OTOP clients are low-income and uninsured or underinsured. This population has multiple layers of problems, including poly-drug use problems, psychiatric difficulties, life-threatening health problems, and significant cultural barriers to receiving proper care. This population is at especially high risk for HIV.
Required Qualifications
High school graduation and four years of related administrative experience; or an equivalent combination of education and experience;
Ability to use sound judgment in responding to issues and concerns.
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
Solid organizational skills and ability to multi-task with demanding timeframes.
Working knowledge of common organization-specific and other computer application programs.
Ability to use discretion and maintain confidentiality.
Skills to evaluate issues and identify resolution. High tolerance of ambiguity; excellent problem solving ability; self-starter with the ability to work both independently and with teams; sense of humor and patience a plus.
Strong service orientation. Demonstrated excellent punctuality, attendance and reliability.
Communication skills; both verbally and in writing. Demonstrated ability to work cooperatively and communicate effectively with others, especially marginal populations diverse in ethnicity, gender, and sexual orientation. Able to work as a team member in a culturally diverse setting.
Ability to effectively manage multiple priorities.
Experience working with populations that are diverse in gender, sexual orientation, and ethnicity.
Preferred Qualifications
Bachelor's degree; or an equivalent combination of education and experience in field of substance abuse and mental health.
Demonstrated ability with Methasoft and Avatar programs.
Experience with UCSF and CCSF policies and procedures.
Experience working around severely mentally ill adults, the homeless and dual diagnosis populations.
Knowledge of NTP and/or psychiatric terminology.
